OUR TUITION & PAYMENT POLICIES
To accommodate different lifestyles and budgets, we offer three structured plans, which already provide the best value we can offer. Lowering our rates beyond these plans would impact the sustainability of our business structure, affecting our ability to fairly compensate our highly qualified tutors and maintain the quality of instruction we are committed to providing.
Keeping our pricing transparent ensures fairness for all families—there are no hidden fees, no artificial price markups, and no need for negotiations.

Payment & Fees

Tuition and fees must be paid in full before the first class.

New students (first-time only) may receive a pro-rated tuition based on their enrollment date.

Annual administrative fee: $48 per student.

Late payment fee (after the first class): $45.

Returned check fee: $45.
Referral Program

Refer a friend and get $50 off your next tuition.

For each new student you refer who joins our classes, you’ll receive a $50 thank-you credit.
Rescheduling Policy

You must give at least 48 hours' notice for rescheduling private or semi-private sessions (unless it’s an illness or emergency).

Plan A allows one reschedule per quarter.

More than one reschedule automatically moves you to Plan B.

If your child is sick with a fever or serious illness, notify us at least 2 hours before the session to reschedule.

Missed sessions cannot be carried over to the next quarter under Plan A.

Withdrawing from Sessions (Plans A, A2, B)

If you need to stop tutoring, let us know in writing.

You’ll receive a refund for any unused sessions, minus a $50 refund processing fee.
Weather-Related Cancellations

If class is canceled due to bad weather, it will be held on Zoom or Teams, or rescheduled.

Updates will be posted on our website and emailed to parents.

Session Attendance & Preparedness
Please remind your student that their tutoring session is as important as a school class or sports practice. Sessions should be added to their personal calendar, and they are encouraged to remind you when it’s time to leave. Since tutoring occurs weekly, it should never come as a surprise. Sessions are most effective when students arrive prepared—with homework, books, papers, and a clear plan for what they would like to review.
Late Arrivals
Q: My student is running late—can the tutor stay longer to make up the time?
A: Unfortunately, we cannot extend sessions beyond the scheduled 55 minutes. Our tutors require a 5-minute transition period to regroup and prepare for their next student.
Illness & Same-Day Cancellations
Q: My student is sick and cannot attend—what should I do?
A: Please contact Archimedes as soon as possible—ideally right after notifying the school or picking up your child. At that point, we can discuss the possibility of a make-up session.
Non-Emergency Conflicts
Q: My student has a scheduling conflict—can we reschedule?
A: Per Archimedes policy:
“We have a 48-hour rescheduling policy for all private/semi-private sessions for any non-illness/non-emergency cases.”
If less than 48 hours’ notice is given, we will not reschedule the session.
Make-Up Session Availability
Q: We need a make-up session, but my student has a packed schedule—what are our options?
A: While we do our best to reschedule students with their regular tutor, availability may be limited. You may need to work with a different tutor to accommodate your schedule.
Old Missed Sessions
Q: My student missed a session a couple of months ago—can we make that up now?
A: Per Archimedes policy:
“Canceled classes cannot be carried forward to the next quarter for Plan A.”
If a new quarter has begun, we are unable to reschedule that session.
Missed Due to Forgetfulness
Q: My student forgot about their session today—can we get a make-up?
A: No. Per our 48-hour rescheduling policy for non-illness/non-emergency absences, we cannot offer a make-up. If the tutor was present and waiting, please understand that their time is valuable.
No Homework Today
Q: My student doesn’t have homework—can we cancel or reschedule?
A: No. The session will still be held. Tutors can always make productive use of the time—whether reviewing current material, previewing upcoming chapters, or reinforcing foundational skills.
Request to Reschedule for a Test
Q: My student has a test and wants to move their regular session—can we do that?
A: Please first discuss with your student how they’re doing in the class. If they’re struggling, a last-minute session likely won’t be very effective. It’s better to keep the regular session and develop a study plan with the tutor.
If the student is doing well and just wants a brief review, feel free to reach out. However, please note that availability may be limited, and we may not be able to schedule with the same tutor.
